This is my first thread and I'm not sure what I data I need to pass along for this question. I'm running TSM extended edition V 5.5.4 on z/OS MVS V 1.11. The DB is 115 GB.

I make monthly exchange backups the first weekend every month that we keep forever. Management decided to change this policy to only keep the last 7 years of data. I’m not that confident in my policy skills and would like someone to check over my thought process.

My current policy looks like:

Domain:
Policy Domain Name: EXCHANGE
Activated Policy Set: EXCHANGE
Activation Date/Time: 09/19/08 08:06:02
Days Since Activation: 927

My thought process is this. The number of backups(84) would be 1 monthly backup for 7 years. 12x7=84
The same number for retain extra versions.
The versions data deleted and retain only versions would be 2555 days. 365 days x 7 years = 2555.
I think I would change the copygroup policy to
Versions Data Exists: 84
Versions Data Deleted: 2555
Retain Extra Versions: 84
Retain Only Version: 2555

I would activate this policy change just before making the first monthly weekend backup. After the backup completes, I would then run expiration and check to make sure I have only 7 years of monthly backups.

Sorry for the length of this thread.

Looking good!

Only gotcha is the days, you are not considering leap year; so you will need to add one day for every four years (add one day for the first year, skip three years and then add a second day on the fifth year, so for 7 years you need to add two days).

Versions Data Exists: 84
Versions Data Deleted: 2557
Retain Extra Versions: 84
Retain Only Version: 2557

Raakin,

Thanks for the quick reply. You're right on with the leap year thoughts.
