Ginny,

You have basically identified the problem in that you cannot 'seal the list'
of vault retrieves since it seems to change continuously. If you look at
your activity log you may notice that the volumes seem to change state
exactly after the pending period is up. So if the tape originally cleared
out in the morning, it goes to the vault retrieve state  in the morning. If
it happens in the evening, it goes to vault retrieve in the evening.
    My suggestion is to print the vault retrieve list out once and then as
those tapes are returned, individually transfer them to onsite retrieve,
i.e. drm move volume# tostate onsiter. If you use the drm move *
wherestate=vaultretrieve command you will catch the ones that change state
between the time you print the list of vault retrieves and actually run the
drm move * command.
